Introduction
After the player confirmation process, updates to the player's name, nationality, date of birth and sex cannot be made directly in TMS and must first be changed in the National Registration System (NRS) of the Member Association that currently controls the FIFA ID data, i.e. the data owner.
The TMS Helpdesk cannot make changes to player information in TMS until the data owner has completed the change in the relevant NRS. Clubs must therefore request player updates or merges from their respective Member Associations.
If a Member Association that is not the data owner of the player record wishes to update the player information, one of the two following scenarios can apply:
- The Member Association requesting the change can contact the data owner and request that it update the player details in its NRS. It can then be updated in TMS.
- The Member Association requesting the change can take over the FIFA ID if it is in the process of registering the player or has already registered the player. Once it becomes the data owner, it can update the player's data in its system. It can then be updated in TMS.
Updating players’ dates of birth and sex, and merging players
When the data owner of a record updates the date of birth or sex of a player or merges or unmerges two FIFA IDs in its NRS, all data holders are automatically notified via email of this change so they can reflect it in their respective National Registration Systems.
Any player registered in the TMS Stakeholders database will have TMS as a data holder. Accordingly, when an update to their information is made by the Member Association in its NRS, TMS is automatically notified of the change via Connect ID.
These notifications are reviewed and synchronised in TMS – there is no need to contact the TMS Helpdesk to reflect these changes.
For these automatic notifications to be delivered to TMS, Member Associations must:
- ensure that all registered players have a FIFA ID;
- ensure that the same FIFA ID is assigned to the player in their NRS and in TMS; and
- take over that FIFA ID in their NRS to become the data owner.
Player merges when no FIFA ID is assigned
For a merge to be notified to the TMS Helpdesk via the automatic Connect ID notifications, one or both player profiles must be assigned a FIFA ID and TMS must be a data holder for one or both player records.
In cases where a player record in TMS that does not yet have a FIFA ID needs to be merged into an existing record, the records can be merged directly in TMS via the player deduplication menu.
Updating the name and nationality
Updates to players’ names and nationalities must be notified by the data-owning Member Association to the TMS Helpdesk so that they can be reflected in TMS.
There are two options if the Member Association requesting an update is not the data owner of the player record:
- Contact the data owner and request that it updates the player details in its NRS. It can then be updated in TMS.
- Take over the FIFA ID if it is in the process of registering the player or has already registered the player. Once it becomes the data owner, it can update the player's data in its system. It can then be updated in TMS.
Updating players where TMS is the data owner
When FIFA IDs are created by Member Associations directly in TMS via the player deduplication menu, TMS was registered as the record’s data owner by default. This can be verified via the Audit Trail.
TMS should never remain the data owner of a player record. The Member Association that created the FIFA ID should therefore immediately take over the player’s registration in its NRS and become the data owner. Failure to do so may result in missing registration information in the player’s history and inaccurate player information.
Updating players that do not have a FIFA ID
After the player confirmation process, updates to the player's name, nationality, date of birth and sex cannot be made directly in TMS and must first be changed in the relevant Member Association’s NRS. However, these changes will not be synchronised to TMS if no FIFA ID is assigned.
The first step is therefore to assign a FIFA ID to the player via the player deduplication menu. Upon assignment of the FIFA ID, the player details will be automatically updated.
